Need to get some things kicked off with people responsible for them.
1) Banner
Pat Kinne
2) Food. Dogs, buns, etc
Frank Trager
need to organize all the food, make sure it is bought, gather a donation jar, tables, paper plates, etc
3) Hand out for cooler checks
Jim Kitson
Create a flyer to be handed out while doing cooler checks.
4) Cooler checkers/ handout flyers.
Karl Mosher to solicit volunteers
John Ramos to help
Mitch (longarm) to help
I figure that the majority of arrivals will be before noon. Everyone coming should have a chance to play so no one should get stuck there more than an hour. Should have a minimum of 2 people at a time.
5) Radio/ hill monitors
Kelly Myers to manage this including prearranging and making sure rotations are done.
Much discussed. My guess is that we should have at least 6 on staff during any one time. Need to rotate every hour or so. At least 3 groups = 18 folks minimum.
SKIP in rotation (obv @ the bottom...)
6) Bonfire.

Bonfire should start mid afternoon & remain active into the evening. Deno will supply firewood but location needs to be determined once we get there.

Not sure how much help is needed but I think a couple people should be handing out waivers and verifying insurance, answering questions, etc. This can be done while people are in line.

Since we will have scattered parking, we will need a couple people to point to locations.

9) Clothing Sales

Should have minimum of 4 people to rotate.

Need SKIP to bring them and distribute.
We own them
11) Photo/Video person.
Every volunteer needs to be on site by 9:00. By the time they get unloaded, registered and a short meeting is held with each group, people will start to arrive.

By the way, if you disagree with something, numbers, etc, please post.

I'll be a floater, I dont want to be assigned to any task in particular but I can be a fill-in where needed throughout the day.
food- glfwda is fronting $ or is there going to be a paypal setup? I like Paul's idea about donations in excess to the food cost going to a charity.
should someone with a gps should travel every trail and create way points for our reference later on?

I'll take care of the hill monitoring/safety stuff. I'll put something together.
It would be nice to have someone selling clothing/stickers also. I think this should be on the list.

Bryce, pay pal required the host to charge sales tax. Therefore, we need to keep it informal.
I'll add the clothing. Kelly, do you want to have all clothing together or keep it separate. I see pros and cons but I like it together.

Whoever is handling clothing can keep the money seperate, or keep a tally of stuff sold. Chances are I will have nothing but stickers to sell

Pat, I hear you and your effort is good. But, I want to associate one name to each of these tasks that will then recruit people. So, pick one that you will be in charge of. You can be an additional volunteer to other lists too.

I got it.
I am in charge of the banner which will be done prior to the event.
This leaves me open for being in charge of the fire and doing whatever else may be needed the day of.
If I am in charge of the fire I can then be in charge of food prep and finding volunteers to help with that. I can also purchase the food items at GFS using out GLFWDA account.

Pat, I will hold off on putting you in charge of anything till others have time to weigh in. If no one volunteers, you should handle it.
I still want you to have time to take a second shot at "almost" impossible hill.

i got bringing the food, keeping it cold till dinner time, and a small donation to help cover food expenses. if we need a fridge and sink handy i could bring the truck camper if we need it.

I have to agree.
ESPECIALLY with all of the owner's previous problems involving alcohol. Let's just leave that one alone this first time out of the box and concentrate on giving him a 'stellar' example of how responsible we are.

byob is bring your own beverage. Pop, water, whatever. No alcohol in the woods. But, if a person wants to have a beer around the fire with a hot dog, no problem with me.

They are welcome to lock them in my enclosed trailer.
If you guys really want this to be a totally alcohol free event, we need to make it clear. I can live without a beer but I really don't see the problem with a beer afterward. And neither did Deno.
Why hide it? It was discussed with him.

I dont have a problem with it afterwards, but folks would have to bring two coolers.
If we leave it at no alcohol then if they want it afterwards they can run to the store and come back to the fire. This gives the local economy a boost from party store sales, it's a win win if you ask me.

ok, now that you explain it a bit more it seems a little less of a bad idea.
I agree that there should be a no alcohol/no tolerance rule at the park. BUT as they show up mention to them that a beer at the fire is welcome after 6:00.
ZERO 21+ drinks should be in the park or parking lot until after 6:00. There are some people that are responsible enough to obey and there are the others who will do as they damn well please. Our job is easier if we know we dont have to keep an eye on them until 6:00

I have no problem with a beer or two after the event. I would only hope people use good judgement and dont try to drive a couple hours home after having a few.

i think cc covered most of the big stuff(thank you). dogs, buns, mustard, ketchup, relish, chips, paper plates, napkins, paper towels, ect.
i was also thinking a good first aid kit in case of any small injuries? does glfwda own a good first aid kit, if not we should!
also should we bring a gas grill?? it would be easier to cook alot of them then on a fire? or perhaps a large grill grate to go over the fire pit?? people could still cook their own, just easier. just a few ideas i had.

We own safety kits. Mark, do you have them? Personally I like to see folks cook their own dog over a fire. It makes for a lot better social time than one or two folks cooking like the elementary school mom.
Karl, basically the owners are going to be busy making sure people are signing proper waivers inside the office. My thought is a couple people standing outside the office, handing them out, answering the basic questions like "where do I go to sign in?", etc. Just to help move things quickly.
On a separate note; They open for business at 9:00 am. I thing all workers should be there about then.

white rhino, once again you are correct about cooking dogs on a stick over the fire being the right way to do it. i was thinking more about 200 hungry people trying to cook dogs over a small fire at once. but with free fire wood i guess we can make the fire bigger.

I'll bring a stack of tailgate reports, and can help hand them out and do registration.
I am going to beg off on volunteering to be in charge of anything, tax planning keeps me burning the midnight oil between now and then. But you can stick me wherever you want the day of the event.

Pat has offered up his trailer in the event of bad weather.
Their will be T`s (long and short sleeve), sweats, stickers and such. Not going to bring many tank tops :eek:
Though I plan on bringing the Jeep. Priority will be the store.
If anyone wants to help out they are more then welcome. :ahhh:
Likely will come up on Friday and stay in St. Helen. Will be at the park, ready to go, no later then 9:00 AM.
If anyone else (workers) is coming up on Friday and needs a place to camp/plug in then shoot me a PM. Thinking along the lines of RV`s.

as for cooking the dogs, it will be on the persons schedule, tell them the fire should be good for cooking from 3-dark, when they cook it is up to them,

This is where I'm still concerned about the alcohol.
I'd LOVE to think we're all adults, but we don't know everyone who will show up and 'things' do happen.

I'm still working on convincing the wife to go. Things get a little tight around here before Christmas.
If I'm able, I'll be there to work not play.
I can rotate around an give people breaks.
Store, registration, cooler checks, trails/hills, hand outs, parking, store clerk. . .

Might even be able to do one better than the trailer, how about a canopy with 3 sides and a heater? That way it can be setup in the most prime spot we can find!

I realize this is another tasker...but has anyone thought about a designated photographer or videographer? I know most of the time, the site gets by on people donating the pictures they took. But this sounds like it would be a great write-up for the Boondocker and often people don't take pictures of the cooler-checkers, or the safety officials or store tenders. The people that gave up most of the day of wheeling in order to make the event a success.
Just a suggestion. If someone buys me a plane ticket, I'd be very happy to do it myself!!!

Great idea. I would guess there will be alot of pics since the bigger hills will draw spectators. But pics of the volunteers & stuff would be good too. I'll add it.

a good question smiley? we know very little of these trails as of yet. so posting and extractor at the hard stuff will be tough. most people will be in groups so there is usually someone there to extract you.
as a group we try to use the "safer" recovery methods. we dont use chains. we use straps with no hooks. we try to keep all bystanders away from straps and winch cables. the one thing we could do better is weight on winch cables to stop a violent backlash in case of a break. more and more members do have synthetic winch rope to help stop the violent cable breaks. ive seen some very technical, and multi angle winch pulls done by our guys safetly. we get stuck/broke alot so we learn the best wat to get out.
alot of the groups will be with one or two experienced wheelers, those groups should be ok. in a crowd this big it could be a challenge to watch over everyone. so i guess we need everyone to look out for each other. if you see something that looks "unsafe" tell the user to stop and think safety first. never be afraid to ask for help! when in doubt look for a glfwda hat or shirt for help, alot of us will be there and most of us are pretty good at getting this kinda stuff done. most importantly get all the other people away from the hazzard. we will get you out! we will leave no rig on the trail!

as a group we try to use the "safer" recovery methods. we dont use chains. we use straps with no hooks. we try to keep all bystanders away from straps and winch cables. the one thing we could do better is weight on winch cables to stop a violent backlash in case of a break. more and more members do have synthetic winch rope to help stop the violent cable breaks. ive seen some very technical, and multi angle winch pulls done by our guys safetly. we get stuck/broke alot so we learn the best wat to get out.
alot of the groups will be with one or two experienced wheelers, those groups should be ok. in a crowd this big it could be a challenge to watch over everyone. so i guess we need everyone to look out for each other. if you see something that looks "unsafe" tell the user to stop and think safety first. never be afraid to ask for help! when in doubt look for a glfwda hat or shirt for help, alot of us will be there and most of us are pretty good at getting this kinda stuff done. most importantly get all the other people away from the hazzard. we will get you out! we will leave no rig on the trail!
I was not worried about myself getting out since I doubt I will hit any of the trails. If I end up going, I will pay the entrance for my vehicle and park it just inside the gate just for the show of support. That location is way to far for me to see regularly.
I was thinking in terms of the event - someone (CC offered?) should be there to have the final say of the right way to do things and I know that CC cant cover the whole area (hill monitors all up to snuff on recovery safety?). Fortunately, since there is no alcohol permited, it should minimize the "idiot" moves but there are always the typical "redneck" moves when it comes to recovery.

there are alot of us there that know the right way to do things. at most of the likely areas there will be a member to keep an eye on things. we cant watch everyone all the time. there are trails there we have not run yet. we will do our best to get this as safe as possible. as i stated earlier we are counting on everyone to help us make sure things are done safetly. as in life there are no gurantees. people do have accidents(and on purposes) all the time. people get hurt on occasion at moab, rubicon, telico, ect... the final word if its needed will come down from mark burns, pat k., jim k., c.c., paul hittie, myself, ect..
BOTTOM LINE IF YOU SEE SOMEONE DOING SOMETHING STUPID TRY TO STOP THEM!!!

A little confused here. Yes, we have run all of the steep hills along the ridge line. There are 3 hills that we will be monitoring. Everything else can be handled by CB.
There are no trail "leaders". This is only 125 acres and can be handled by a map that will be handed out and cb's.
There is no mud that will require extraction.

I am just trying to help you minimize risk and leave that good impression. From what I understand, you guys went through a lot to convince the owner to do this.

IF someone thinks they know what they are doing and they dont then there are enough people that know what they are doing that are MORE "head-strong" than these people you speak of that will take control of a situation.

I'd be afraid of being "too organized". So, he expects this level every time he opens his gates....this isn't Jeep Jamboree where people hold your hand and shift and steer and point to all the rocks under your tires and tell you what gear to be in and yada, yada, yada ;)
I'd hope people just show up and have fun in large numbers and any involvement/assistance to the owners is very low key so as to not make it seem like this is a big deal, just the normal every weekend fun for us wheelers.

People tip into trees all the time. Typically doesn't require an "organized" extraction. Hook on with winch or strap & pull them away.
Not to over simplify here but this is not the first event we have ever put on. And in the scope of things, there is not a high level of obstacles here other than a couple hills that a person could roll on.
My son in law is a fireman/emt and I know there are a couple others that are coming.

i thought there was some trails we have not run yet?? i know we hit all the hills. i thought i heard we only ran about 30 to 50 percent of the trails on the property? i could be wrong but i though i saw this posted?
also stock truck, street tires, newbie wheeler, not aired down, deep sand, equals extraction. although a very easy and safe one usually.

Paul, it wouldn't hurt for sure. Just in case we need another warm body. Better to have more volunteers than not enough.
Stan is heading up the welcome line handing out the info packets & checking insurance. There are a couple people helping him but it may get congested.
Also, I don't know if Kelly ever got enough hill monitors. Especially second round groups to relieve the first folks.
